How to set up QuickBooks account mappings for Shopify payouts

Map Shopify sales, refunds, fees, tax, disputes, clearing, and bank activity to compatible QuickBooks accounts.

Why mappings matter

A payout is one bank deposit containing several accounting categories. Mappings tell Vatteo where each category belongs in QuickBooks while keeping the proposed journal balanced and traceable.

Vatteo checks account compatibility, but the merchant or accountant remains responsible for approving the accounts and tax treatment.

Core accounts to review

  • Shopify clearing: a current asset used between recognition and cash settlement
  • Payout bank: the exact QuickBooks bank account receiving the settlement
  • Sales and shipping income
  • Discounts and refunds
  • Shopify fees and dispute expense
  • Sales tax or VAT liability
  • COGS and inventory, when product costs are enabled

Use the correct account type

Do not select an account only because its name looks familiar. A bank destination must be a compatible bank account, revenue must use an appropriate income account, and collected tax should not be mapped to long-term debt or revenue.

If no suitable account exists, create a dedicated account with a clear purpose rather than reusing an unrelated category. Vatteo avoids creating a duplicate when a compatible dedicated account already exists.

Review currency and activity status

The payout bank account must use the payout currency. Inactive or deleted QuickBooks accounts cannot receive new postings. Recheck mappings after changing the chart of accounts or reconnecting a different company.

Approve mappings before posting

Review every suggested account, replace weak suggestions, and approve the finished set. A blocked or unapproved category prevents journal generation instead of silently guessing.

When a mapped account changes

Vatteo detects important QuickBooks account drift such as deletion, deactivation, type changes, or renaming. Resolve the warning and review affected journals before posting further payouts.
