How to complete a Shopify month-end close in Vatteo

Check payout coverage, tax, COGS, journals, bank matches, and exceptions before signing off the accounting period.

Choose the accounting period

Open Close and select the calendar month you are reviewing. Vatteo uses the store accounting timezone when evaluating period boundaries, payout activity, and source-date evidence.

1. Confirm payout coverage

Verify that every expected payout has been imported and that scheduled, delayed, failed, or late payouts are explained. A late payout can affect the source month even when its settlement occurs later.

2. Resolve unfinished accounting work

  • Payout evidence is complete
  • Mappings are approved
  • Required payout journals are posted
  • Every payout is matched to the bank
  • QuickBooks entries still agree with their approved evidence

3. Review tax and external payments

Review the stored tax reconciliation and any gaps requiring acknowledgement. Confirm how external gateways such as PayPal were handled; Shopify payouts alone cannot prove cash received outside Shopify Payments.

4. Complete COGS when enabled

Resolve missing product costs and confirm restocked returns trace back to the original sale evidence. COGS remains separate from the payout cash journal and must be complete or explicitly handled before close.

5. Review exceptions and sign off

A close can preserve acknowledged exceptions, but it must not present an unresolved issue as a clean pass. Read the exception description, document the reason, and make sure the evidence is sufficient for the reviewer.

Completing the month stores the close snapshot and audit event. Reopening requires a reason and preserves the original completion history.
